Australian Nonprofit Transitions From SharePoint to Nintex Promapp BPM

WISE Employment, an Australian nonprofit work placement organization, has selected Nintex Promapp BPM as the tool to replace SharePoint for business process management (BPM).

Nintex, a major player in the low-code BPM marketplace, offers its new client several new capabilities:

  • The goal of the partnership is to increase the speed at which relevant stakeholders are notified when processes are updated and to provide those stakeholders with a singular platform for feedback.
  • A full-blown BPM tool was required rather than a lighter weight workflow tool because WISE needed to orchestrate processes across a wide range of applications and a disparate workforce.
  • Prior to Promapp BPM, WISE had leveraged SharePoint as its process automation tool. The organization was orchestrating 300 processes simultaneously and found that its process efficiency was being limited by the out-of-the-box functionality provided by SharePoint.

Approximately 600 users will be onboarded onto the new Nintex Promapp automation platform in the coming weeks.

Our Take

WISE’s transition to BPM makes for a great case study. Nearly all organizations will eventually feel the need to transition to a dedicated process orchestration platform. There are three critical factors to keep in mind when making this transition.

  • Make sure that you are getting the most out of your existing tools. For example, if you are an Office 365 user, check if your team is using SharePoint’s automation functionality before contacting new vendors.
  • Stabilize before scaling. Ensure that you are past the stabilization phase of a new enterprise resource planning (ERP) implementation. Moving to BPM only after processes are stable and proven will save you time and money.
  • Find a solution that suits your technical resources. If you have limited technical resources, consider a low-code solution, just as WISE did. If you have technical resources at your disposal, consider a BPM development platform that can enable deeper levels of application integration and even a microservices architecture.

If done successfully, a BPM initiative can be used as a catalyst to move the entire organization toward cross-platform process orchestration, providing context and justification for process improvement across all silos.
